But here's what many business owners discover too late: with open-source ERP, the partner you choose matters more than the software itself. Dolibarr is flexible, which is its great strength. That same flexibility means the quality of your system depends on the people who set it up, configure it to your processes, connect it to your other tools and support it once you're live.
Get the partner right and you'll have a system that runs your business for a decade. Get it wrong and you'll end up with a half-finished installation, a stack of unsupported custom code and a team that quietly goes back to spreadsheets.
This guide explains what to look for in a Dolibarr partner in the UK, the warning signs to avoid, and the questions to ask before you sign anything.
Why use a Dolibarr partner at all?
Dolibarr is free to download, so it's fair to ask why you'd pay anyone to help. Plenty of businesses try the do-it-yourself route, usually by installing it on a cheap web host or asking a technically minded employee to "have a look". It often works for a while. The problems appear later.
- Configuration is where the value lies. Out of the box, Dolibarr is a toolkit. Deciding which modules to enable, how your products, price lists, warehouses and approval steps should be set up, and how your chart of accounts maps across takes real ERP experience.
- Your data has to come across cleanly. Migrating customers, suppliers, stock and open orders from Sage, QuickBooks, Xero or spreadsheets is one of the riskiest parts of any ERP project. Poor data in means poor decisions out.
- Someone has to own it. Updates, security patches, backups, user issues and the inevitable "why won't this invoice post?" moments all need a named person or team to deal with them.
- Your time is worth more. As a business owner, every hour you spend reading forum threads is an hour you're not spending on customers.
A freelance developer can be a good fit for a small, well-defined job. But one person is a single point of failure. If they're on holiday, move on or simply get busy, your business system has no support. For something as critical as your ERP, most businesses are better served by a team.
What to look for in a UK Dolibarr partner
1. Proven Dolibarr experience, not just general IT skills
Many IT companies and web agencies will happily install Dolibarr for you. Far fewer have taken it into live businesses and supported it for years afterwards. Ask how long they've worked with Dolibarr, how many implementations they've delivered and whether you can speak to existing clients. A partner who has worked on the platform for a long time will know its strengths, its quirks and the workarounds that save weeks of frustration.
2. Understanding of UK accounting and compliance
Dolibarr was born in France and is used worldwide, so a UK setup needs deliberate attention. Your partner should be comfortable with:
- VAT, including standard, reduced, zero-rated and exempt rates, reverse charge and post-Brexit EU trading rules
- Making Tax Digital (MTD) for VAT, and how your VAT returns will reach HMRC, whether directly or through bridging software
- A UK chart of accounts and year-end processes your accountant will recognise
- UK bank feeds and payment methods, such as BACS, Direct Debit and card payments
- UK GDPR, including where your data is hosted and who can access it
If a prospective partner looks blank when you mention MTD, keep looking.
3. Experience in your industry
An ERP for a manufacturer looks very different from one for an online retailer. Look for a partner who understands your world:
- Manufacturers need bills of materials, work orders, stock consumption and costing.
- Wholesalers and distributors need customer-specific pricing, multi-warehouse stock, batch or serial tracking and efficient picking and dispatch.
- E-commerce businesses need reliable, real-time links between Dolibarr and platforms such as WooCommerce, Shopify or Amazon.
A partner who has solved your problems before will ask better questions, spot gaps early and recommend proven approaches rather than experimenting on your budget.
4. A clear approach to implementation
A good partner will be able to explain exactly how they'll take you from where you are to go-live. Expect a structured process that includes:
- A discovery phase to map your current processes and pain points
- A written scope and plan, with costs and timescales
- Configuration and data migration, with test runs before go-live
- User training tailored to each role
- A planned go-live with support on hand during the first weeks
Be wary of anyone who wants to start installing before they understand how your business works.
5. UK-based support you can actually reach
Your ERP runs your orders, stock and cash flow. When something goes wrong, you need help quickly. Check what support is included, how you raise issues, what response times are guaranteed and whether support covers UK business hours. Ask whether they offer a service level agreement (SLA) and what happens outside office hours.
6. Hosting, security and backups
Where your Dolibarr system lives is just as important as how it's configured. A good partner should offer secure, managed hosting, ideally in UK or European data centres, with automated backups, monitoring and a tested recovery plan. Ask about security accreditations such as Cyber Essentials, and who is responsible if something fails.
7. A plan for upgrades
Dolibarr releases new major versions regularly, bringing new features and security fixes. Heavily customised systems can become difficult, or even impossible, to upgrade. Ask how the partner handles upgrades, how often they do them and how they make sure your customisations survive. The best partners favour configuration and well-built modules over editing Dolibarr's core code.
8. Sensible use of modules and customisation
The Dolibarr ecosystem includes hundreds of add-on modules, of varying quality. A good partner will know which ones are reliable, which to avoid and when a small bespoke module is genuinely the better option. They should always tell you who owns any custom code they write and whether it will be supported long-term.
Red flags to watch out for
Just as important as knowing what good looks like is recognising the warning signs:
- "It's free, so this will be cheap." The software has no licence fee, but a proper implementation still takes skilled time. Quotes that look too good to be true usually leave out discovery, data migration, training or support, and those costs come back later.
- No discovery, just a demo. If a partner shows you a slick demo and moves straight to a price without understanding your processes, they're selling software, not solving problems.
- Everything is custom. Some bespoke work is normal. But if every requirement is answered with "we'll build that", you're heading for a fragile system that's expensive to maintain and hard to upgrade.
- Vague answers about support. "Just email us if there's a problem" isn't a support plan. You need defined channels, response times and responsibilities.
- No references. An experienced partner will be happy to put you in touch with existing clients. Reluctance here is a warning sign.
- Lock-in by the back door. Dolibarr is open source, so you should always have access to your data, and ideally to your system. Be cautious of anyone who makes it difficult to take your data elsewhere.
Questions to ask before you sign
Take this list into your first conversations with prospective partners. The answers will tell you a great deal.
- How long have you been working with Dolibarr, and how many live clients do you support?
- Can I speak to two or three clients in a similar industry to mine?
- How do you handle UK VAT and Making Tax Digital?
- What does your implementation process look like, and how long will it take for a business like mine?
- What's included in your quote, and what isn't?
- How will you migrate our existing data, and how will we test it before go-live?
- Where will our system be hosted, and how is it backed up and secured?
- What support do you offer after go-live, and what are your response times?
- How do you handle Dolibarr upgrades, and what happens to our customisations?
- Who owns any custom code you write for us?
- What happens to our data and system if we decide to leave?
A good partner will welcome these questions. If they seem uncomfortable answering any of them, treat that as useful information.
What should a Dolibarr partner cost?
Costs vary with the size and complexity of your business, but you'll usually see one of three models.
- Project-based implementation plus ongoing support. A fixed or estimated fee covers discovery, setup, data migration and training, followed by a monthly or annual support and hosting contract. This suits businesses with specific requirements.
- Time and materials. You pay a day rate for the work done. It's flexible, but budgets can drift without a clear scope.
- A packaged, subscription-based product. Some partners offer Dolibarr as a ready-configured, supported product with hosting, updates and support bundled into a predictable monthly fee. This is often the simplest route for SMEs that want the benefits of open source without managing the technology themselves.
Whichever model you choose, compare quotes on the total cost of ownership over three to five years, not just the up-front figure. Include hosting, support, upgrades, training for new staff and any add-on modules. A cheaper implementation that needs regular rescue work is rarely the cheaper option in the end.
It's also worth comparing that total against the alternatives. Even with a good partner, Dolibarr typically compares very favourably with proprietary ERP systems that charge licence fees for every user, every year.
Choosing the right partner
Dolibarr can give a growing UK business everything it needs from an ERP, at a fraction of the cost of the big-name alternatives. But its success in your business depends on the partner behind it.
Look for a team with long, proven Dolibarr experience, real understanding of UK accounting and compliance, knowledge of your industry, a structured implementation approach and dependable UK-based support. Take the time to ask the hard questions, speak to their clients and compare the total cost over several years. It's one of the most important decisions you'll make for your business's future efficiency.
